Overview

How does Policy Management work?

Masraff's spend policy management module lets you define your company's spending rules digitally and enforce them automatically. Category-based spending limits, daily and monthly budget caps, geographic rules and supplier restrictions are set up as policies. Every expense record is checked against the relevant policies as soon as it is entered: budget overruns, out-of-category expenses, over-limit amounts and restricted vendors are flagged automatically, the people involved are notified, and the violation shows in the approval workflow. Non-compliant expenses are blocked at the approval stage. Masraff logs every expense entry, approval step, policy check and change in an audit trail, and reports ready for internal and external audits are generated automatically.

FAQ

Frequently Asked Questions

What is a non-deductible expense (KKEG)?

Non-deductible expenses (KKEG) are costs that cannot be deducted from corporate income according to the Turkish Tax Procedure Law (VUK) and the Corporate Tax Law. In Turkey they are tracked in account 689 within accounting systems. Common examples include alcohol or tobacco expenses, documents issued for meal cards, receipts without monetary value, taxi POS receipts, credit card slips, and information slips.

How does Masraff automatically detect non-deductible expenses (KKEG)?

During expense entry, Masraff automatically detects six standard non-deductible expense (KKEG) types (alcohol/tobacco, meal card receipts, information slips, receipts without monetary value, credit card slips, taxi POS receipts) and applies warning or blocking rules according to your company policy. Approved KKEG expenses are transferred to the appropriate 689 accounts in your ERP with the correct accounting flow — supported by adapters for Logo, SAP, Oracle, and other ERP systems.

What happens when a policy violation occurs?

Masraff’s policy engine evaluates amount limits, category rules, KKEG scenarios, and your custom policies during both the expense entry and approval stages. With four alert levels (Info, Warning, Error, Block), you define exactly how strict your policies should be. Violations are reported and can be exported to Excel for audit purposes.
