For Turkish and MENA logistics, transportation, freight and fleet operators, logistics expense management is as concrete a margin lever as load utilization. Fuel, maintenance, insurance, customs, driver per-diem, field payments and toll charges flow uncontrolled from the driver's phone to the ERP trip cost. Masraff consolidates fleet expense tracking, fuel card reconciliation, per-trip cost and international transportation spend in a single platform — eliminating paper traffic between field and office and making trip-level cost visible in real time.

Trip routing

Live cost for every trip, driver and vehicle

Drivers scan receipts on the road with GPS auto-attached. Trip number, vehicle plate and customer roll up to ERP as trip cost.

Fuel card reconciliation

BP, OPET, Shell statements reconciled the moment trips close

Statement lines auto-match by date, amount and card ID; unmatched lines spawn auto-expenses and a missing-document alert to the driver. Per-trip and per-driver consumption posts to ERP.

Capabilities

Featured Capabilities

  • Driver and fleet expenses

Drivers snap fuel receipts from mobile with auto-attached GPS. Fleet-level fuel, maintenance, insurance reports follow.

  • Cross-border freight

Multi-currency, country-aware taxes and customs auto-categorized. Cost tracked per trip.

  • Fuel-card reconciliation

BP, OPET, Shell fuel-card integration. Per-trip and per-driver fuel consumption pushed to ERP automatically.

Driver and fleet expense capture in the field

Drivers scan fuel receipts, toll slips and per-diem documents from their phones; GPS location is captured automatically and stamped on the receipt with a timestamped photo. The Masraff Assistant reads amount, VAT, date and merchant from the receipt; the driver attaches it to the trip form in minutes. Offline captures sync the moment connectivity returns, so head-office accounting works against ready data the instant a trip closes — not on month-end email threads.

  • Mobile receipt capture (iOS, Android, Huawei) with GPS stamping
  • Mandatory fields by driver, vehicle plate and trip number
  • Multi-level approval: depot lead → operations → accounting
  • Policy alerts on category, amount or payment-type limits

Fuel card reconciliation and fleet consumption

Statement files from BP, OPET and Shell corporate fuel cards are uploaded to Masraff; the system auto-matches each line by date, amount and card ID against Masraff expenses. Unmatched lines generate auto-expenses and a missing-document notification is sent to the driver. Per-trip and per-driver fuel consumption rolls up by vehicle, lane and customer, then posts to the ERP as a trip cost. Fleet managers answer "which driver, which vehicle, which trip, how much consumed" the moment the trip closes — not at month-end.

International transportation and multi-currency

For cross-border haulage, cold chain and transit operations, multi-currency handling and country-level VAT are the critical control points. Masraff auto-converts between EUR, USD, GBP, SAR, AED and TRY; fuel paid in Bulgaria, an autobahn toll in Germany, or a customs charge in Saudi Arabia is categorized against the right country VAT rule and added to trip cost. Customs broker receipts, transit declaration fees and international insurance flow end-to-end on the per-trip cost card.

Fleet-level reporting and cost control

A logistics CFO needs one dashboard: total fuel, maintenance and insurance by vehicle; per-diem and receipt variance by driver; P&L by trip; freight cost by customer. Masraff's reporting engine delivers these breakdowns out of the box; policy violations (daily fuel ceiling, off-network fueling, duplicate per-diem) surface on a single screen and export to Excel. Fleet managers track maintenance cycles, insurance renewals and per-vehicle depreciation; trip profitability is queryable across customer × lane × vehicle.

ERP and TMS integration

Masraff's accounting engine posts trip cost directly to ERP GL accounts and trip-level cost centers via SAP, Oracle, Logo, Mikro, Luca, Orka and GİB e-Invoice/e-Archive integrations. Türkiye-specific KKEG rules (the 30 % non-deductible portion on vehicle-related spend, expenses without proper documentation) are handled with ready templates for Logo, SAP and Oracle; VAT withholding and detailed VAT splitting comply with Turkish regulation. Trip numbers and customer references flow from your TMS into Masraff via custom fields so every trip opens with the right context.

FAQ

Frequently Asked Questions

Which fuel cards does Masraff reconcile with?

Masraff reconciles with BP, OPET and Shell corporate fuel card statements. When an Excel statement is uploaded, every line is auto-matched against Masraff expenses by date, amount and card ID; unmatched lines generate auto-expenses and a missing-document notification is sent to the driver. Flexible column mapping lets you ingest non-standard statement formats too.

How is per-trip cost tracked?

Every expense is tagged with trip number, vehicle plate, customer and lane via custom fields. Fuel, tolls, per-diem, customs and insurance roll up across these dimensions; total cost, trip P&L and a customer × lane × vehicle profitability matrix are ready the moment a trip closes and post to ERP as trip cost.

How are customs charges and multi-currency international transportation handled?

Masraff supports multi-currency including EUR, USD, GBP, SAR, AED and TRY with automatic FX conversion. Customs broker receipts, transit declaration fees and country-level fuel are added to trip cost under the correct country VAT category and FX rate. For Türkiye, VAT withholding and detailed VAT splitting comply with local regulation.

How is driver per-diem and cash advance handled?

Drivers open a cash advance form before the trip; once depot lead and operations approve, the advance is booked. Per-diem, meals and lodging during the trip are entered as receipts from the phone, and the advance balance is reconciled automatically when the trip closes. Real-time balance tracking eliminates overpayment and open advances; daily per-diem limits are enforced by the policy engine.

Does the system track fleet maintenance, insurance and tax due dates?

Recurring spend such as maintenance, insurance, vehicle tax and inspection is captured with vehicle-level custom fields and category-based rules. Fleet-level fuel, maintenance and insurance reports break down by vehicle plate; the policy engine flags limit overruns, category drift and duplicates. Due-date tracking is handled via custom fields and reporting.

How long does ERP integration with Logo, SAP or Mikro take?

Masraff ships connectors for Logo, Mikro, Luca, Orka, SAP (ByDesign / S4 HANA Cloud / Business One) and Oracle Fusion. A standard rollout — chart of accounts mapping, trip cost centers, KKEG scenarios and VAT mapping — takes 2-4 weeks on average. GİB e-Invoice and e-Archive flows ship in the same integration package; custom TMS bridges are configured via custom fields.
