Retail is one of the most fragmented industries in expense management. Dozens — sometimes hundreds — of stores; each with its own rent, mall service charges, window changes, in-store services, seasonal campaigns, consumables and maintenance. Add mall management invoices, local supplier payments and head-office category budgets, and retail expense management quickly becomes unmanageable. Masraff brings multi-store expense tracking, retail chain spend control, multi-location budgeting and retail-grade ERP integration onto a single platform. Brands running Nebim, Logo Tiger or Mikro across Türkiye and the wider MENA region connect every approval — from store manager to category head — in one continuous flow.

Many stores

Each store as its own cost centre — single legal entity or a multi-company group

Model dozens of stores in a single Masraff tenant; keep franchise, own-store, in-mall outlet and warehouse entities separate where needed, yet consolidated in reporting.

Category analytics

Window, consumables, maintenance, marketing — category analysis and store benchmarking

See which store overspends on window changes, which region's consumables are climbing and where supplier concentration is building up — all from one dashboard.

Category folders

A separate folder and supplier history for each category — window, consumables, maintenance, marketing

Invoices land in the right category as soon as they are uploaded; mall management invoices, window-change bills and marketing-activation payments stay in separate folders.

Capabilities

Featured Capabilities

  • Per-store budgets

Each store gets its own budget and cost center. Store managers approve from mobile.

  • Vendor and category tracking

Invoices auto-categorize into windows, supplies, maintenance, marketing. Vendor-level analytics included.

  • Retail ERP integration

Out-of-the-box connections to Nebim, Logo Tiger, Mikro Retail. Cross-checks against POS data.

Store-level budgets and cost centres

Each store is modelled as a separate cost centre in Masraff. Monthly, quarterly or seasonal budgets are assigned per store; in parallel, head office runs brand, region and category budgets. The store manager sees their own run-rate in real time; the regional lead can compare 8–10 stores side by side and isolate outliers. Once a budget threshold is reached, the request escalates automatically — no end-of-month surprises.

Window, consumables, maintenance, marketing — supplier tracking by category

In retail the same supplier may invoice across several categories during the year: window changeovers at the start of each season, in-store consumables (bags, tags, hangers), HVAC and lighting maintenance, in-store marketing materials. Masraff reads each invoice with OCR and routes it into the right category:

  • Window and visual merchandising — seasonal swaps, in-store POP, mannequin care.
  • Consumables and operations — bags, tags, cashier supplies, EAS systems.
  • Maintenance and service — HVAC, lighting, CCTV, fixture repairs.
  • Marketing and activation — local campaigns, in-mall events, in-store digital displays.
  • Mall fees and rent — base rent, common-area charges, exit/turnover extras.

Supplier-level analytics surfaces the cases where the same vendor quotes different rates to different stores.

Mobile approvals for the store manager

Store managers are on the floor — making them return to a desktop slows operations down. In Masraff's mobile app, a manager approves their store's consumables and maintenance invoices with a single tap; out-of-policy items automatically escalate to the regional or category lead. Receipts and invoices are uploaded directly from the phone, OCR suggests the category, and VAT and non-deductible expense checks run in the background.

Retail ERP integration: Nebim, Logo Tiger, Mikro

Masraff's Retail ERP Integration module ships with ready connectors for Nebim V3, Logo Tiger / Go3 / Netsis and Mikro Fly / Jump / X — the systems that power most Turkish and regional retail chains. Approved invoices post as accounting entries with store and category codes preserved at source. For brands operating POS-driven environments, Masraff matches category and store data through the ERP, so variances between spend and category sales are reported at the right level of detail.

Multi-location reporting and benchmarking

A single-store view isn't enough for retail. Masraff reporting works on three axes:

  • Store comparison — spend per m² or per revenue, peer stores side by side.
  • Category trend — monthly evolution of window, consumables, maintenance, marketing.
  • Supplier concentration — how many stores a single vendor serves and at what value.

At end-of-season campaign reviews, the store manager's budget discipline and the category lead's supplier choices appear on the same report. Decisions become data-driven; the brand stays sustainable.

FAQ

Frequently Asked Questions

How long does Nebim, Logo Tiger or Mikro integration take to go live?

Standard configurations ship with ready connectors for Nebim V3, Logo Tiger / Go3 / Netsis and Mikro Fly / Jump / X; typical go-live takes a few weeks once store codes, cost-centre mapping and category alignment are agreed. Custom fields and POS-side attributes add configuration time.

How does a store manager approve their own store's invoices?

Each store is set up as a separate cost centre and the store manager sees only their own items. In the mobile app they approve window, consumables, maintenance and marketing invoices with a single tap; if a budget threshold or category policy fires, the request escalates automatically to the regional or category lead.

How are seasonal campaign costs tracked under a single campaign view?

A dedicated project or category code is opened for the campaign and every related invoice — window, print, in-mall event, digital display — is linked to it. At the end of the campaign you see category-level cost, store distribution and supplier concentration in one report.

How are mall rent and management-fee invoices handled?

Separate suppliers and categories are defined for mall invoices (base rent, common-area charges, exit/turnover extras). Recurring monthly items are linked to the contract; if the amount or indexation changes outside the agreed tolerance, the approval workflow activates and out-of-contract items are flagged in the report.

Does Masraff support multiple legal entities (own stores + franchise)?

Yes. Each legal entity is configured as a separate company; stores are linked to their respective entity and a separate accounting entry is generated per company on the ERP side. Consolidated reporting then presents a unified view by brand, region and category to head office.

How is pricing structured by store count and scope?

Pricing is set by active user count, the modules in scope (Expense Management, Card Reconciliation, Invoice Management, Spend Requests, etc.) and the ERP integration footprint. Store count is not billed directly; what's billed is the user base, and a retail-specific proposal is shared in the demo conversation.
