Two ways to calculate

  • Per-km rate: usually set by company policy

    In some countries the tax authority publishes a tax-free amount per km; in others, company policy sets the rate. The rate may vary by vehicle type or employee grade.   • Fuel consumption: only the fuel used

    This uses the total distance, the car's average consumption per 100 km and the price of fuel per litre. It does not include wear and maintenance, so it suits trips in a company car or trips where only fuel is reimbursed. Tolls, bridge fees and parking are added separately in both methods.

Should vehicle costs be calculated with a per-km rate or from fuel consumption?

Both are common. A per-km rate is used when employees drive their own car, to cover fuel plus costs such as wear and maintenance with a single rate. Calculating from fuel consumption covers only the fuel used on the trip; it suits company cars or cases where only fuel is paid. Your company's expense policy decides which one applies.

How is fuel cost calculated?

Multiply the total distance (km) by the car's fuel use per 100 km and divide by 100; then multiply the litres by the fuel price per litre. For example, on a 240 km trip a car that uses 7 litres per 100 km consumes 16.8 litres of fuel; at $2.00 per litre, the fuel cost is $33.60.

Are tolls, bridge fees and parking included in vehicle costs?

This tool adds them up on a separate line and includes them in the grand total. Your company policy decides whether these fees are covered by the per-km rate; if your policy counts them as included, leave these fields empty.
